Privacy Notice

This Privacy Notice describes how The Wireless Advisors LLC D/B/A LeasingHQ ("we", "us", "our"), operator of Leasing Headquarters (the "Service"), collects, uses, and shares personal information. Our address is 5900 Balcones Drive #32899, Austin, TX 78731.

1. Data Controller

The Wireless Advisors LLC D/B/A LeasingHQ is the controller of personal information processed to provide the Service to account holders. When customers use the Service to process information about their applicants and residents, our customer is the controller of that data and we act as a processor on their behalf.

2. Information We Collect

• Account data: name, work email, hashed password, property assignment, role.
• Applicant & leasing data submitted by customers: applicant name, contact information, unit, lease terms, move-in date, checklist status, concessions, gift card tracking.
• Support & communications: messages, feedback, and support requests.
• Usage & device data: IP address, browser, device identifiers, log data, and security telemetry.
• Cookies: essential cookies for authentication and session management.

Payment and billing information is collected and processed by Stripe, our payment processor; we never see or store full card numbers. See Stripe's Privacy Policy.

3. How We Use Information

• To create and manage accounts and provide the Service;
• To process applicant checklists, welcome letters, and other customer workflows;
• To provide customer support;
• To secure the Service, prevent fraud, and enforce our Terms;
• To improve product features and reliability;
• To send service-related communications; and
• To comply with legal obligations.

4. Legal Bases

Where applicable, we process personal information under the following legal bases: performance of a contract (providing the Service), legitimate interests (security, product improvement), consent (where required), and legal obligation.

4A. Integrations You Connect

Customers may connect property management and verification platforms such as RealPage OneSite, Yardi, or Verifast. When a customer enables an integration, we exchange only the data fields that integration requires, using credentials the customer supplies, which we store encrypted. Those platforms are independent of us and handle data under their own privacy terms and their agreement with the customer. We are not a consumer reporting agency and do not make leasing or screening decisions.

5. How We Share Information

• Service providers / subprocessors: cloud hosting, database, error reporting, and customer support tools.
• Payment processor: Stripe, for payment processing, subscription management, tax calculation, and invoicing.
• Professional advisers: legal, accounting, and compliance advisors.
• Authorities: where required by law or to protect rights, safety, or property.
• Business transfers: in connection with a merger, acquisition, or asset sale.

We do not sell personal information.

We use third-party service providers only to host, operate, secure, and bill for the Service. Each is bound by data protection obligations no less protective than this notice.

6. Data Retention

We retain personal information only as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained for the life of the customer's account. After termination we make it available for export for thirty (30) days, then delete or de-identify it within ninety (90) days, subject to applicable retention requirements. Backups roll off within thirty-five (35) days.

7. Security

We implement appropriate technical and organizational measures to protect personal information, including encryption in transit and at rest, role-based access controls, and row-level security so that data from one property cannot be accessed by users of another. Full details are in our Security Overview. No system is 100% secure; we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or port your personal information, and to object to certain processing. You may also have the right to withdraw consent and to lodge a complaint with a supervisory authority. To exercise your rights, contact us at the address below. If you are a resident or applicant of a property using the Service, please contact that property directly, as they control your data.

We do not sell or share personal information, and we do not use it for cross-context behavioral advertising or targeted advertising. Under the Texas Data Privacy and Security Act, the CCPA/CPRA, and similar state laws, we act as a service provider or processor for applicant and resident data submitted by our customers. We will not discriminate against you for exercising a privacy right, and you may appeal a decision by writing to the address below.

8A. Data Processing Terms for Customers

Business customers processing applicant and resident information through the Service are covered by our Data Processing Addendum, which sets out our obligations as processor, our security commitments, breach notification timelines, and deletion terms.

9. International Transfers

We are based in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.

10. Cookies

We use strictly necessary cookies for authentication and session management. We do not use third-party advertising cookies on authenticated pages.

11. Changes to this Notice

We may update this Privacy Notice from time to time. Material changes will be notified through the Service or by email.
